How to Print Barcode Labels at Home: Sheets, Thermal Printers and Sizes

You don't need special software to print scannable labels. You need the right label stock, a little white space around the barcode, and a test scan before you print a hundred.

Two ways to print

Label sheets in a regular printer. Letter-size sheets come pre-cut into labels, such as 30 per sheet (about 2⅝ × 1 inch) or 10 per sheet (4 × 2 inches). A laser printer gives the crispest bars. This is the cheapest way to label a whole room of shelves in one afternoon.

A thermal label printer. Thermal printers print one label at a time from a roll, with no ink. Most sellers already use one for shipping labels (4 × 6 inches). Smaller rolls, like 2¼ × 1¼ or 4 × 2 inches, work for products and bins.

Make labels that scan every time

  • Leave a quiet zone. Barcodes need blank space on both ends, at least ten times the width of the thinnest bar. Don't let text or the label edge crowd the bars.
  • Don't squeeze long codes. Every extra character makes a Code 128 barcode wider. If a label is too narrow, shorten the text (A-2-2 instead of AISLE A SHELF 2 BIN 2).
  • Black on white. Colored labels and colored ink lower contrast. Use color for the label background only if it's light.
  • Print at 100% scale. "Fit to page" can shrink bars until they blur.
  • Matte, not glossy. Clear tape over a label can reflect the scanner's light. Use matte tape or label protectors.
  • Test before you batch. Print one, scan it, then print the rest.

Always include readable text

Put the location or SKU in big text above the barcode. People read text; scanners read bars. When the scanner is charging, the big text still works.

Common questions

What printer do I need for barcode labels?

A regular laser printer and letter-size label sheets work well for shelves and bins. A direct thermal label printer is faster for shipping and product labels.

Why won't my barcode scan?

The usual causes are no white space (quiet zone) on the sides, the barcode being shrunk too small, low contrast, or glossy tape reflecting the scanner light.

Do thermal labels fade?

Direct thermal labels can darken or fade with heat and sunlight over time. For permanent shelf labels, laser-printed or thermal-transfer labels last longer.
